Separate teamwear from gifts

Your team may need clothing they can wear through setup and the event. Visitors may need something useful, portable and easy to distribute. Give these two audiences separate product and quantity plans.

Choose a focused selection around the event’s purpose. A launch, a client meeting and an internal seminar do not need the same collection.

Work backwards from the handover

Set the required arrival date, allowing for receipt, checks and setup. Then include transport, packing, production, proofs and artwork preparation. Assign a person to each approval so the schedule does not depend on an unclear handover.

Tell the Studio about any venue booking, delivery window or access requirement. These details belong in the initial brief.

Prepare the artwork once

Collect approved logos, colours and any event message in a single place. Confirm the rights to partner logos and check dates, names and spelling. Review each branding position on the artwork proof.

Late changes can affect both the print and the production schedule. Keep one clearly named approved version.

Count and distribute deliberately

Estimate quantities by audience and use. A team size list differs from a visitor forecast. Decide how stock is split across stands, sessions or locations, and how any remaining products will be used afterwards.

  • Label boxes by destination or product.
  • Confirm the receiving contact and delivery window.
  • Plan storage before and during the event.
  • Keep a record of opening and closing stock.

Keep the request simple

Send the event, date, audience, products, quantities, artwork status, budget and delivery instructions. The Studio confirms feasibility for the chosen references and processes.

Can you handle an urgent event?

Call the Studio with the date, quantity and requirements. Feasibility depends on products, branding, availability and delivery; it is confirmed before commitment.

Should we ship directly to the venue?

Only after confirming access, delivery windows, storage and who will receive the goods. A central delivery may be more suitable in some cases.
